1. Who we are
Northkin Digital (“Northkin”, “we”, “us”, “our”) is a web design and development business operating as a sole proprietorship registered in Ontario, Canada, and based in Mississauga, Ontario. Where our registered proprietor’s legal name is required for contracts, invoices, or other legal documents, it will be provided directly.
This policy explains how we handle personal information collected through northkindigital.com and in the course of providing our services. We handle personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).
2. Information we collect
Information you give us
When you submit our consultation form or email us, we collect the information you choose to provide, which may include your name and company name, your email address and phone number, your existing website address, the service you are interested in, your estimated budget and desired timeline, any project details you describe, and your preferred method of contact.
Information collected automatically
If you consent to analytics cookies, we collect standard usage information such as pages viewed, approximate location derived from IP address, referring website, device type, and browser. This is aggregated and is not used to identify you personally. Our web host also keeps standard server logs, including IP addresses, as a normal part of operating and securing the website.
3. Why we collect it
To respond to your enquiry and provide a quote; to deliver services you have engaged us for; to send project-related communication, invoices, and support responses; to understand how the website is used and improve it; and to meet our legal, tax, and accounting obligations.
We do not sell your personal information. We do not share it for advertising purposes. We do not add enquiry contacts to a marketing list without asking you first.
4. Consent
We collect, use, and disclose personal information with your knowledge and consent, except where PIPEDA permits or requires otherwise. Submitting an enquiry form constitutes consent for us to contact you about that enquiry. You may withdraw consent at any time, subject to legal or contractual restrictions and reasonable notice, by contacting us at admin@northkindigital.com.
5. Who we share it with
We share personal information only where necessary to operate our business: web hosting and email providers, analytics providers (only where you have consented), subcontractors working on your project, accounting and payment providers, and legal or regulatory authorities where we are required to disclose.
Where specialist subcontractors work on your project, they are given only the information needed to do that work and are required to keep it confidential.
Some of our service providers may store or process data outside Canada, including in the United States. Where that is the case, the information may be accessible to the courts, law enforcement, and national security authorities of that jurisdiction. 6. How long we keep it
Enquiries that do not become projects are kept for up to 24 months and then deleted. Records relating to clients and completed projects are kept for as long as required to meet our contractual, tax, and legal obligations – generally seven years for financial records. You may ask us to delete your information sooner where we are not legally required to keep it.
7. How we protect it
We use reasonable safeguards appropriate to the sensitivity of the information, including encrypted connections (HTTPS), access controls on our accounts, reputable service providers, and limiting access to those who need it. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Your rights
Under PIPEDA you have the right to ask what personal information we hold about you and how it has been used, request access to it, ask us to correct information that is inaccurate or incomplete, withdraw your consent subject to legal and contractual restrictions, ask us to delete information we are not required to retain, and make a complaint about how we have handled your information.
Email admin@northkindigital.com and we will respond within 30 days. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.
9. Cookies and analytics
We use essential cookies required for the website to function, and – only with your consent – analytics cookies. You can decline analytics cookies and the website will work exactly the same. Full detail is in our Cookie Policy.
10. Children's privacy
Our services are directed at businesses. We do not knowingly collect personal information from anyone under 18. If you believe a child has provided us with personal information, contact us and we will delete it.
11. Changes to this policy
We may update this policy as our services or legal obligations change. The revision date at the top of this page will always reflect the current version. Material changes will be highlighted on the website.
